The Epharmix platform offers the ability to send out a broadcast communication for facility closures, either due to holiday or other emergency situations, for the patients who are currently receiving regular EpxDialysis calls and messages. In this article, we will walk through how to schedule a broadcast.
Before You Start
You must be an admin of your Epharmix account to be able to schedule an EpxDialysis broadcast. If you are not an admin, or unsure of your permission status, feel free to submit a ticket within the platform.
Otherwise, start by logging into the Epharmix platform.
Accessing the Broadcast Page
To start, you will want to go to the broadcast page. Simply click on the "All Interventions" button at the left sidebar of your dashboard, which should take you to the page that has the full list of all Epharmix interventions. Locate and click on the EpxDialysis entry.
On this page, you should see the list of patients currently enrolled in EpxDialysis within your account. Now, you should see a button at the top right corner of the page that says "Send Broadcast". Click on the button and you should be taken to the broadcast page.
Schedule A Broadcast
In the broadcast page, you should see a list of past and future broadcasts (or an empty list if you have never scheduled one). To schedule a new broadcast, click on the "Schedule New Broadcast" button at the top right corner.
A form will now appear to collect the parameters for the broadcast. You will first choose the reason for broadcast - in this case, we will choose "Holiday". A sample message should appear immediately at the right-hand side to help you keep track on the message content.
Next up you will choose which holiday this is for - in this case, "Thanksgiving Day". Fill in the name of your dialysis facility to identify the message for your patients.
Next, you will choose the date of closure, a.k.a the date that the facility will be closed. You will also put in a phone number that the patient can call for any questions or rescheduling needs. This phone number can be the phone number of your facility or an organization-wide guest service number. Reference your standard operating procedures to determine which phone number to use here.
You will also want to set the date and time when this message should be sent. Please note you should not use a time that might cause inconvenience to the patient, such as too early or too late.
Now, scroll down the form and select the provider contact you want to send out the broadcast for. All patients that have an EpxDialysis prescription associated with this contact will be matched and receive the broadcast. Once you select the contact, you will see the list of patients that are matched.
The system will automatically choose either phone call or text message based on the patient's current EpxDialysis communication preference. Again, only the patients who have opted in and have not opted out of the EpxDialysis intervention will receive the broadcast.
Finally, scroll to the top of the form to confirm the content of the message as well as the rest of the parameters. When you are ready, scroll to the bottom of the form and click "Confirm" to schedule the broadcast.
You should see a confirmation message and, once the dialog disappears, see your newly scheduled broadcast in the list of all broadcasts.
One last note: you can cancel a broadcast at any time as long as it has not been sent out yet. Simply go to the broadcast page and click "Remove" next to the broadcast you would like to cancel.
